Session Scheduling

Please review and access the Online Scheduling Tutorial before scheduling your sessions. If you have an alternate format session (panel or lightning session) that has been approved by the Fall Meeting Program Committee, please access the Alternate Format Online Scheduling Tutorial.

At least one of the conveners must be available in late August and early September; during this time, the conveners will be notified of the number of oral and/or poster sessions they will receive, based on the total number of accepted abstracts submitted. The Program Committee may also require some sessions to be merged at this time. If you have any questions regarding your allocated sessions, please contact the appropriate Program Committee representative.

The convener(s) will have from 23 August through Noon EDT, 6 September to organize the abstracts submitted to their sessions by assigning the presentation order and durations, if an oral session is allotted. Conveners must be an AGU member in order to access the online abstract system. Conveners must also designate two (2) session chairs and one (1) OSPA liaison for each allocated session during this time.

Session scheduling must be completed in the online abstract system by 6 September, prior to the Program Committee scheduling meeting. The conveners will no longer have access to their sessions after the Program Committee scheduling meeting begins. During the scheduling meeting, the Program Committee will assign days, times, and meeting rooms for each session.

Note: Invited authors are not guaranteed an oral presentation.

Session Formats

There are two main session formats held during Fall Meeting–oral and poster. The designated section/focus group Program Committee representative is responsible for the allocation of oral and poster sessions within the discipline. Information whether a session has been assigned an oral or poster session or a combination of oral and poster will be available to session conveners in the scheduling system in mid-August and notified via email when this system opens, after the abstract submission deadline.

  • Poster Sessions: Each poster session will be displayed for a full day during the meeting, but will only be considered active for a half day, either morning or afternoon, for a total of 240 minutes. Posters presenters are encouraged to submit an online ePoster (electronic version) in addition to presenting at the meeting.
  • Oral Sessions: Oral sessions will receive a 2-hour time slot. There will be NO 1-hour sessions, with the exception of Named Lectures.
    • If a session receives multiple oral slot allocations, session conveners can retroactively mark up to TWO (2) abstracts as “invited” per each additional session during the scheduling period.
  • Alternate Formats:
    • Alternate Format descriptions can be found here.
    • If the session is a designated alternate format session, this will be listed in the last paragraph of instructions on the “Arrange” page in the scheduling system. If you do not see this designation in your session, then it has not been selected for an alternate format.
      • Panels: You will be able to select the abstract to designate the author as a panelist.
      • Oral Lightning Session: Please contact abstracts@agu.org with the authors/poster presenters from the companion poster session that you would like to include in the lightning portion of the oral session you have been allocated. AGU staff will dually schedule the poster presentations in the Oral session.
      • Lighting Poster Session: Please schedule the poster session you have been allocated with a maximum of twenty (20) authors/poster presentations. Contact abstracts@agu.org when complete and the poster presentations will be dually scheduled by AGU staff in the lightning poster session. If you would just like shorter durations of oral presentations during your session, you can do this without contacting AGU by changing the “duration” of each abstract below.

Final Program

In early October 2016, acceptance notices will be distributed electronically and the final program will be available online.

After the program has been published in early October, please note that authors will be required to accept or decline their presentation. If the author declines, the abstract will be withdrawn from your session. Please note, if you are chairing multiple sessions and also submitted abstracts to the scientific program the Program Committee CANNOT guarantee that you will be free of scheduling conflicts at the meeting due to the size of the program. Please ensure the co-conveners of the session are available to step in to chair a session if the need arises.

Replacing an empty oral slot: If the withdrawal is from an oral session, the session conveners can request that a poster presentation from the accompanying poster session be moved to replace the withdrawn oral presentation. This can only be done to and from accompanying sessions and only with the authors’ explicit consent. Please send an email to abstracts@agu.org with the details of the withdrawn abstract, the details of the abstract that will be moved into the oral presentation slot, and the email or message where the author gave consent to being moved.

Note: New abstracts CANNOT be added to fill empty slots in either oral or poster session. Also, after the program has been finalized, poster presentations CANNOT be moved to different poster sessions due to the logistical layout of the poster hall.
